Privacy Policy Kinex-Pet

Kinex-pet ("we", "our", or "us") is operated by KVet Systems, based in New Zealand. This Privacy Policy explains how we collect, use, and protect your personal information when you use the Kinex-pet mobile application ("the App").
By using Kinex-pet, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
Account information: When you create an account, we collect your name and email address. If you sign in with Apple, we receive a unique identifier and optionally your name and email as provided by Apple.
Pet information: Information you enter about your pets, including name, species, breed, date of birth, weight, and photos.
Health records: Veterinary documents, medication details, appointment records, vaccination history, and other health information you choose to store in the App.
Scanned documents: Photos of veterinary documents you scan using the App. These images are processed by our AI service to extract relevant health information.
Location data: With your permission, we access your approximate location to display local weather conditions relevant to walk planning. Location data is not stored on our servers.
Device information: Basic device information including device type and operating system version, used for technical support and app improvement.

3. AI Document Processing
When you scan a veterinary document, the image is sent to Anthropic's Claude AI service for processing. Anthropic processes this data in accordance with their privacy policy and data processing agreements. Document images are used solely to extract health information for your pet records and are not used to train AI models.
4. Data Storage and Security
Your data is stored securely on servers hosted by Railway (infrastructure provider). Pet photos and document images are stored using Cloudflare R2 storage. All data is transmitted using industry-standard encryption (HTTPS/TLS).
We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction.
5. Data Sharing
We do not sell your personal information to third parties. We share data only with:

Anthropic — for AI document processing (scanned documents only)

Nominatim/OpenStreetMap — reverse geocoding for weather location names
All third-party providers are contractually required to keep your data confidential and use it only to provide their services to us.
6. Your Rights (NZ Privacy Act 2020)
Under the New Zealand Privacy Act 2020, you have the right to:

7. Data Retention
We retain your data for as long as your account is active. If you delete your account, your personal data and pet records will be permanently deleted within 30 days. Anonymised, aggregated usage statistics may be retained indefinitely.
8. Children's Privacy
Kinex-pet is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us immediately.
9. Push Notifications
We send push notifications for medication reminders, appointment reminders, and recovery check-in prompts. You can disable push notifications at any time through your device settings.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy in the App or by email. Your continued use of the App after changes constitutes acceptance of the updated policy.
